Director of Administration and People Services

Define American is seeking a full-time Director of Administration and People Services to join our team. They will be in charge of providing inspired leadership for our organization, including developing and implementing operational policies and procedures to promote a culture that encourages morale and performance. Our top priority is a high-performing team achieving our mission with integrity in a respectful, diverse and energetic workplace culture.

 

SPECIFIC RESPONSIBILITIES

Recruitment/On-boarding

  • Oversee recruitment processes to maintain and build a team aligned with organizational mission and necessary skills
  • Assure initial introduction of new staff to the organization and onboarding is productive and welcoming

Staff Professional Development/Retention

  • Ensure staffing skills and levels are aligned with the needs and available resources of the organization
  • Work with managers to oversee staff evaluations and corrective action plans for continued progress of staff
  • Manage development of team to support contemplated organization needs and succession planning
  • Oversee and provide resources for conflict resolution and mediation of employees and/or with external stakeholders

Organizational Infrastructure and Culture

  • Provide inspired leadership for the organization
  • Develop, implement and review operational policies and procedures
  • Work with Executive Director to develop mission-aligned strategic plans by using the budget and other processes to ensure the proper infrastructure is in place
  • Create a respectful, diverse, energetic workplace culture
  • Create and implement processes to enhance engagement, morale and team building
  • Manage office services and workplace environment/facilities for all Define American offices

Administer Compensation, Benefits and Payroll

  • Oversee successful execution of the organization’s financial policies and procedures, including but not limited to staff payroll, expenses, invoice payment, etc.
  • Negotiate and manage the employee insurance and benefits plans

Human Resources and Policy/Legal Compliance

  • Ensure all legal and regulatory documents are filed and monitor compliance with laws and regulations.
  • Develop best practices for internal HR policy administration, including but not limited to liaising with Trinet and maintaining personnel files
  • Administer Unemployment/Worker’s Compensation Insurance

 

WHAT WE’RE LOOKING FOR

  • BA or higher; MBA or MPA Degrees preferred
  • Minimum of 3-5 years of experience in management, administration, operations, HR, and leadership 
  • Understanding of general finance and budgeting, including balance sheet and cash-flow management
  • Ability to build consensus and relationships among staff and partners

  • Attention to detail, high degree of accuracy, and quality judgment and decision making.  
  • Experience in handling confidential data with discretion/sensitivity 

 

LOCATION

Due to the remote nature of the work, applicants throughout the United States will be considered. Candidates located in Los Angeles, CA, New York, NY or  Louisville, KY metro areas preferred.

This position can expect to travel 5-15% of their time.

Database Coordinator

During a period of significant organizational growth, Define American is seeking an experienced Database Coordinator to support our team in our utilization of the EveryAction CRM. The successful candidate will demonstrate personal initiative and meticulous attention to detail in order to optimize our CRM to track stakeholder touchpoints, record activities, generate reports, and more.

The Database Coordinator position is part of Define American’s Strategic Growth (fundraising) team. Required travel: 10-15%.

 

SPECIFIC RESPONSIBILITIES

  • Be an integral thought leader on the Strategic Growth team and help ensure that we maximize all opportunities to fortify the financial health of the organization
  • Work with Strategic Growth team and all departments to adjust EveryAction interface to align with organizational priorities and needs
  • With the Strategic Growth team, design workflow to ensure smooth communication of donor touchpoints to be inputted into the CRM
  • Maintain detailed donor records; including researching biographies for major donors and adding to their EveryAction profiles
  • Track and analyze attendance of ticketed events on EveryAction to align with overall event strategy
  • Develop moves management workflow in EveryAction and alert staff to upcoming touchpoints
  • Generate reports and audience segmentation in EveryAction, as needed, for all departments
  • Draft and mail donor acknowledgment letters
  • Format general audience emails and monthly donor newsletters in EveryAction platform
  • Conduct research for prospective donors, funders, and external partners for all departments
  • Manage Define American Shopify store (previous online retail experience is a plus)

 

QUALIFICATIONS

  • BA/BS or higher required 
  • 3+ years back-end experience with Salesforce, EveryAction, or similar CRMs

Budget and Finance Manager

Define American is seeking a full-time Budget and Finance Manager to develop our organization’s budget and oversee its implementation. This individual will also prepare financial documents and reports. Her or she will be the in-house financial expert responsible for ensuring that staff and Board have a full and comprehensive understanding of our financial position and priorities.This position will report to the Director of Administration and People Services.

The ideal candidate will hold a degree in Accounting or Finance; be familiar with legal regulations of accounting and budgeting; combine excellent numeracy skills with the ability to analyze and present complex data; be able to use critical thinking to create financial forecasts and make budgeting decisions; and plan, evaluate, design, and implement our organization’s budget, ensuring growth and compliance with the law.

 

SPECIFIC RESPONSIBILITIES

  • Design effective budget models for departments and the entire organization
  • Analyze financial information (e.g. revenues, expenditures and cash management) to ensure all operations are within budget
  • Present annual budgets to senior managers
  • Review budget requests for approval
  • Forecast future budget needs
  • Identify variances between actual and budgeted financial results on a monthly basis
  • Work with fundraising team to provide time-sensitive financial reports for funders
  • Work with fundraising team to reconcile revenue on a monthly basis
  • Suggest spending improvements that increase profits
  • Review the company’s budget for compliance with legal regulations
  • Ensure department managers meet budget submission deadlines
  • Design and implement effective budgeting policies and procedures, including working with leadership on gathering annual budget requests from departments
  • Oversee annual audit

 

WHAT WE’RE LOOKING FOR

  • At least two years of proven, full-time work experience as a Budget Manager or Budget Analyst
  • Hands-on experience with accounting software and statistical packages
  • Knowledge of MS Excel and Google Sheets (specifically, advanced formulas, pivot tables and charts)
  • Expertise in forecasting methods and data analysis
  • Expertise in Generally Accepted Accounting Principles (GAAP)
  • Experience, specifically, with non-profit finances
  • Excellent numeracy skills with an attention to detail
  • Strong analytical skills
  • Knowledge of accounting best practices and regulations
  • Ability to explain budgeting and financial information in plain terms
  • Enthusiasm and commitment to our mission and vision

 

LOCATION

This position can expect to travel 5-10% of their time.
